Supporting Change Processes with the Implementation of an AI-Voice Assistent for Contractors

„Just talk instead of taking tedious notes by hand“
That's how simple things are at Schlosser Dachbau now. An AI assistant ensures that no information is lost on the construction site and that project managers can assign tasks with ease.
But a new tool is only half the battle.
To ensure the success of the (digital) transformation, I had the opportunity to guide the team through a series of intensive workshops.
Change doesn’t happen on its own
- it requires structure and empathy. We got everyone on board so that we could work together to make the new process the standard.
That is effective support for change processes.

The Problem: Missing Documentation
If a project manager on a construction site doesn't know which tasks have already been completed or what additional work has come up in the meantime, he'll look bad in front of the client.
What's not documented did not happen. What did not happen cannot be invoiced. What's worse is that without proper documentation, the services provided—and especially the necessary additional services—cannot be billed. This strains the customer relationship and, if necessary, costs not only time but, above all, money.
On construction sites, work goes on in all kinds of conditions, from early morning until late at night. There’s hardly any time for - handwritten - documentation, and the environment isn’t suitable for laptops. Reports written in the car or at home were often lost.
Schlosser Dachbau faced exactly this problem—a specialized master craftsman's business with decades of experience as a flat-roof specialist for industrial and commercial buildings.
For years, there were printed construction logs and progress reports that were supposed to be filled out by hand to document all the work that had been done. The response rate was negligible.
We had to find another way:
The Idea: Implementation of an AI-Voice Assistent for Contractors
That is why management decided to introduce an AI voice assistant for contractors.
With the app, project managers and workers on the construction site can document tasks using voice commands—quickly, easily, and without tedious typing. This results in:
Automatic reports
clear communication &
less work on-site and in the office
The stumbling block when implementing a new solution: Everyone knows it, but no one does it
When new systems are introduced, there is a risk that employees will continue to rely on old processes because they are familiar and have proven effective, and because no one has really taken the time to explain why things should be done differently.
Behavioral change requires more than just knowledge; it requires active support in the very places where new behaviors are to take root.
Change management must be proactive and on-site.
This means: clearly identifying what needs to change, structurally eliminating old habits, and actively supporting people through coaches and internal mentors until the new behavior becomes second nature.
That is exactly what we did:
Supporting Change Processes:
Interactive Process-Workshops with all hands-on-deck
Instead of short, one-off training sessions for individual employees, Schlosser Dachbau opted for a comprehensive series of workshops:
During two-day workshops held in separate groups (administrative staff & project managers, foremen & supervisors, installers, warehouse & logistics) of 9–12 participants each, the following was covered:
visualizing the status quo of work processes
identify stumbling blocks
discuss issues &
develop concrete improvements together
A month later, a follow-up workshop provided an opportunity for collective reflection, a presentation of the results, a review of the content, and a shared commitment from the entire company.
Schlosser Dachbau has shown that substantial change in the trade is possible when:
you bring everyone to the table
communication is taken seriously
processes are designed together
“We need that too—finally, for everyone, from the CEO to the apprentice.”
Growth is good.
Clarity is better.
Change needs to be guided.
That is change management.
About Me
After more than ten years in the international software and start-up world, I know the pressure to perform in modern careers from my own experience.
As a systemic coach and reserve soldier, I know how important clear communication, accountability, and trust are for teams to function effectively.
That's why I support teams in skilled trades, construction, and industry to improve their collaboration, resolve conflicts, and rekindle motivation—in a pragmatic, human way and with a passion for development.
Are you ready for the next step?
Whether it is a conflict in your team, a lack of motivation or communication issues. The first step for change is always a conversation. So let's have one:
We will address your questions in a 15-minute conversation and determine whether and how we can work together.
I look forward to getting to know you!
